Pay Rate: $17.00- $18.00 / hr.

Role Summary

The Administrative Assistant provides high-capacity administrative and operational support to the Vice President of Development and the Development Team. This role is essential to keeping the department organized, on schedule, and moving forward with excellence.
The ideal candidate is highly tenacious, detail-oriented, and proactive. They are someone who takes ownership of systems, follows through relentlessly, and anticipates needs before they become problems. This role ensures that priorities are executed, deadlines are met, and the Development Team is freed to focus on donor relationships, strategy, and revenue growth.
Core Accountabilities
Executive & Team Support
- Provide direct administrative support to the Vice President of Development, including scheduling, task tracking, meeting preparation, and follow-up.
- Serve as an organizational hub for the Development Team, ensuring clarity, coordination, and accountability.
- Maintain calendars, deadlines, and project timelines to keep the department on track.
Administrative Excellence
- Assist in donor-related administrative tasks, including data entry, reporting, correspondence preparation, and document organization.
- Maintain accurate records in CRM systems and shared drives.
- Prepare internal documents, agendas, notes, and summaries for meetings and projects.
Project & Workflow Management
- Track key initiatives, campaigns, and deliverables across the Development Team.
- Facilitate communication with team members to ensure assigned tasks are completed on time.
- Help build and maintain repeatable systems, checklists, and workflows that improve efficiency.
Communication & Coordination
- Assist with internal communication across the Development Team to ensure clarity and alignment.
- Ensure timely preparation and distribution of materials related to fundraising, campaigns, and reporting.
- Assist with database and storage integrity and optimization.
Outcomes & Measures
Primary Outcomes
- The Development Department stays organized and proactive.
- The VP of Development’s time is protected and leveraged toward high-impact priorities.
- Tasks and projects are completed on schedule.
- Administrative bottlenecks are eliminated or significantly reduced.
- Systems and processes are documented, repeatable, and consistently followed.
Secondary Outcomes
- Increased team morale due to clarity and structure.

Requirements & Competencies
- Strong administrative and organizational skills with exceptional attention to detail.
- Demonstrated tenacity; does not drop the ball and follows through until tasks are complete.
- High level of initiative and ability to work independently in a remote environment.
- Familiarity with CRM systems, spreadsheets, shared documents, and project-tracking tools is preferred.
- Ability to manage multiple priorities without losing accuracy or momentum.
- Strong written and verbal communication skills.
- Alignment with Global Outreach International’s vision, mission, values, and faith-based culture.
Ministry & Cultural Fit
- Affirmation of Global Outreach International’s Statement of Beliefs and alignment with its Christ-centered mission.
- Demonstrated understanding of and respect for the missionary context, including donor-missionary dynamics and ministry storytelling.
- Experience in missions, ministry, or faith-based nonprofit work is strongly preferred.
